PROCUREMENT NAVIGATOR - INTRODUCTION When procurement procedures live in Excel, simple questions can become hard work. What comes next? Which form should I use? Who needs to approve? Procurement Navigator brings the process, documents and approval guidance together. Choose your role. See the whole journey, then click the stage you need. Actions, responsibilities and handovers explain what to prepare before moving on. Start with the hardest question: who needs to approve this event? In the Approval finder, select what needs approval, enter the purchase value and answer the relevant questions. Review steps and conditions appear together, with references to the underlying rules. If a source is unclear or conflicting, the tool identifies what needs confirmation. Formal approval remains in your company's authorised channels. In Documents, search or filter by stage. Open a linked form or checklist instead of searching through separate folders. Sample forms and company template links are clearly distinguished. Source and policy notes show where guidance comes from and what needs clarification. As approved procedures change, the Navigator can be updated, giving new and experienced colleagues a shared reference beyond personal memory. Now follow the journey. Define the need: clarify scope, budget and the purchasing route before work begins. Source and qualify: prepare the supplier shortlist and required checks before inviting bids. Approve the strategy: establish how to compete, evaluate and award before launching the tender. Invite and collect bids: check that the tender package is complete and the applicable method is followed. Evaluate and negotiate: compare offers, clarify reservations and document the commercial outcome. Approve the award: bring the recommendation, evidence and any strategy deviations together for review. Register the supplier: check onboarding readiness. This can run alongside earlier steps. Agree and sign contract: check the approved terms, reviews and authorised signatures. Publish and order: connect the signed agreement, where required, and sourcing evidence to the purchase order. Receive and pay: prepare receipt evidence and required approvals, rather than discover missing steps at payment time. Changes and close-out: check the route for amendments and organise the final record. A clearer start for new colleagues. A consistent reference for experienced teams. Fewer searches, earlier checks and less reliance on memory. Explore Procurement Navigator. Know your next step.
